1. Who We Are
BakeLedger AI ("the App", "we", "us") is a recipe costing, inventory, CRM and pricing app for professional bakers. This policy explains what information the App handles, how it is collected, what it is used for, and the one case in which some of it is shared with a third party.
The App has no user accounts. We do not ask for your name, email address or phone number, and we do not create a profile of you.
2. What the App Collects, and How
Everything the App holds is information you type in or create while using it. There is no background collection, no tracking, and no third-party analytics or advertising SDK.
| What | How it is collected | What it is used for |
|---|---|---|
| Recipes, ingredients, costs, labour and overhead settings | Entered by you in the App | Calculating costs, prices and margins on your device |
| Inventory and stock levels | Entered by you in the App | Stock tracking and low-stock reminders |
| Customer and order details | Entered by you in the App | Your own order management, invoices and quotes |
| Photos | Chosen by you from your camera or photo library | Illustrating your recipes and products |
| App preferences and settings | Set by you in the App | Currency, units, theme, reminders and your AI choice |
| AI co-pilot questions and the figures they need | Typed by you, and calculated by the App from your data | Sent to DeepSeek to generate an answer — only if you agree (see section 4) |
All of this data is stored locally on your device. Apart from the AI co-pilot described in section 4, it never leaves your device unless you choose to share or export it (for example, sharing a PDF invoice).
3. Purchases
Premium subscriptions are sold and processed by the Apple App Store or Google Play. Payment details never pass through the App and we never see them. We receive only the subscription status the store reports to the device.
4. The AI Co-pilot and Third-Party AI Processing
The App includes an optional AI co-pilot that answers questions about pricing, costs, scaling recipes and your business figures. It has two modes:
- On-device mode — the default. Answers are produced by an engine built into the App. Nothing is sent anywhere.
- Cloud mode — only after you have read the in-app disclosure and tapped Agree and continue. Your question and the figures listed below are sent to a third-party AI service, which writes the answer.
We ask first. The first time you open the co-pilot, the App shows you exactly what would be sent and who receives it, and asks your permission. If you decline, the co-pilot still works in on-device mode and nothing is transmitted. You can withdraw permission at any time in Settings → AI co-pilot & privacy, and it takes effect immediately.
4.1 What is sent
When you send a message in cloud mode, and only at that moment, the following leaves your device:
- Your question, and the earlier messages in that chat;
- The recipe you are asking about — its name, description, category, tags, difficulty, timings, servings, shelf life, and the names and quantities of its ingredients;
- Figures the App has calculated: ingredient, labour, overhead, packaging and other costs, cost per serving, waste and emergency buffers, suggested price tiers, profit and margin;
- A summary of your business performance: health score, monthly revenue, profit, margin, order count, average order value, active and due orders, unpaid total, and the names, units sold, revenue and margin of your best-selling, most profitable and least profitable products;
- Ingredients that are low on stock, with their current level, minimum level, unit and estimated restock cost;
- Your currency symbol.
4.2 What is never sent
- Customer names, phone numbers, email addresses or delivery addresses;
- Individual orders, invoices, quotes or payment records;
- Photos, or any other file from your device;
- Your name, email address, or any account credentials — the App has none;
- Your location, contacts, calendar, advertising identifier or device identifiers.
Please also keep personal details out of the questions you type. Anything you write in the chat box is sent as part of your message.
4.3 Who it is sent to
Your request travels through two parties, and no others:
- Our relay server (
bakeledger.socialgrowthbiz.com), operated by us. It holds the AI provider's key so the key never has to ship inside the App, and it forwards your request. It does not store your questions or the answers; its logs record only response time and token counts, so we can watch capacity and cost. - Hangzhou DeepSeek Artificial Intelligence Co., Ltd. ("DeepSeek"), the AI provider that generates the answer. DeepSeek processes the request on its servers in China, under its own privacy policy: cdn.deepseek.com/policies/en-US/deepseek-privacy-policy.html.
We do not sell your data, and we share it with no one else — no advertisers, no data brokers, no analytics providers.
4.4 How long it is kept, and how it may be used
We keep no copy of your conversations. DeepSeek retains and processes what it receives according to its own policy, which states that it may use the content it is sent to improve and train its models, and that it retains personal data for as long as necessary to provide its services. DeepSeek's policy grants a right to opt out of having your data used to train its models; you can exercise it by contacting privacy@deepseek.com.
Because we cannot control what a third party does with what it receives, we have designed the co-pilot so that what it receives cannot identify you or your customers: the figures listed in section 4.1 carry no names, no contact details and no account identifier. This is also why the feature is off until you switch it on. Before adding or changing an AI provider we review its privacy terms for protections equivalent to those described in this policy, we name the provider in this policy and in the App, and we ask for your permission again.
5. What We Do Not Do
- We do not require an account or sign-up.
- We do not collect analytics or track your usage.
- We do not sell or rent your data.
- We do not show third-party advertising.
- We do not send anything to an AI service without your explicit permission.
6. Device Permissions
The App may request the following permissions, used solely for the features described:
- Camera / Photo library — to attach photos to recipes, products or records.
- Notifications — to send local reminders you set (e.g. order due dates). These are scheduled on your device, not from a server.
You can decline or revoke these permissions at any time in your device settings.
7. Sharing & Exports
When you use the share or export features (such as sending an invoice PDF), the content is passed to the app or service you select. Once shared, that content is governed by the receiving service's own privacy policy.
8. Data Retention & Deletion
Because your data lives on your device, you are in full control. You can delete individual records inside the App, reset all data from Settings → Data, or remove everything by uninstalling the App. We hold no server-side copy, so we cannot access or recover your data — please keep your own backups if needed.
To have material you sent to the AI co-pilot addressed on DeepSeek's side, contact privacy@deepseek.com. Write to us at the address below and we will help you make that request.
9. Your Rights
Depending on where you live, you may have rights to access, correct, delete or export your personal data, and to object to or restrict its processing. Because your data sits on your device and we hold no copy, you can exercise most of these rights directly in the App at any time. For the AI processing described in section 4, your legal basis is your consent, which you can withdraw at any time in Settings → AI co-pilot & privacy. To ask us anything about these rights, use the contact address below.
10. Children's Privacy
The App is intended for business use and is not directed at children under 13. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date at the top of this page. If we ever change what is sent to an AI service, or which company receives it, the App will ask for your permission again before sending anything under the new terms.
